Refund & Cancellation Policy

This policy outlines our procedures for subscription cancellations and refund requests for our SaaS platform.

Thank you for choosing KM25's SaaS platform. We value your satisfaction and have established this Refund and Cancellation Policy to ensure clarity regarding subscription cancellations and refund requests. By subscribing to our services, you agree to the terms outlined in this policy.

1. Subscription Cancellation

You may cancel your subscription at any time through your account settings or by contacting our customer support team. Upon cancellation:

  • Your subscription will remain active until the end of your current billing period. You will continue to have access to all features until this date.
  • We do not provide partial refunds for unused portions of the current billing period when you cancel a subscription.
  • You will not be charged for subsequent billing periods after cancellation.
  • Your account data will be retained for 30 days after the end of your subscription period, after which it may be permanently deleted.
  • You may request a data export during this 30-day period by contacting our support team.
  • To avoid being charged for the next billing cycle, we recommend canceling at least 24 hours before the renewal date.

2. Refund Eligibility

We offer refunds under the following circumstances:

  • 14-Day Money-Back Guarantee: New subscribers are eligible for a full refund within 14 days of the initial subscription purchase if they are not satisfied with our service. This applies only to first-time subscribers and does not apply to subscription renewals.
  • Service Unavailability: If our service experiences significant downtime (exceeding 24 consecutive hours) or if core features (such as login access, dashboard availability, or API functionality) are critically unavailable for an extended period, you may be eligible for a prorated refund for the affected period.
  • Duplicate Charges: If you were erroneously charged multiple times for the same subscription period, we will refund the duplicate charges.

3. Non-Refundable Circumstances

Refunds will not be issued in the following situations:

  • Cancellation after the 14-day money-back guarantee period has expired.
  • Subscription renewals (the money-back guarantee applies only to initial subscriptions).
  • Dissatisfaction with features that were accurately described in our service documentation.
  • Misuse of the service or violation of our Terms of Service.
  • Scheduled maintenance periods that were announced in advance.
  • Inability to access the service due to issues with your own hardware, software, or internet connection.
  • Service interruptions caused by events beyond our control (force majeure), such as natural disasters, government restrictions, or other unforeseen external circumstances.

4. Refund Process

To request a refund:

  • Contact our customer support team at support@km25group.com with the subject line "Refund Request."
  • Include your account email address, the date of purchase, and the reason for your refund request.
  • Our team will review your request and respond within 3 business days.
  • If approved, refunds will be processed to the original payment method used for the purchase.
  • Refunds typically take 5–10 business days to appear on your statement, depending on your payment provider.

5. Prorated Refunds

In cases where a prorated refund is applicable (such as extended service unavailability), the refund amount will be calculated based on:

  • The subscription fee paid for the current billing period.
  • The number of days the service was unavailable or severely impacted.
  • The total number of days in the current billing period.

6. Plan Downgrades

If you downgrade your subscription plan:

  • The change will take effect at the start of your next billing cycle.
  • You will continue to have access to your current plan's features until the end of the current billing period.
  • No partial refunds are provided for the remaining time on your current plan.

7. Plan Upgrades

If you upgrade your subscription plan:

  • The change will take effect immediately.
  • You will be charged the prorated difference between your current plan and the new plan for the remainder of the current billing cycle.
  • Subsequent billing cycles will be charged at the new plan's rate.

8. Annual Subscriptions

For annual subscription plans:

  • The 14-day money-back guarantee applies from the date of initial purchase.
  • Cancellations after the 14-day period do not result in partial refunds for the unused portion of the annual subscription.
  • Annual subscriptions will not automatically renew if canceled at least 7 days before the renewal date.

9. Free Trials

If you signed up for a free trial:

  • No payment is collected during the free trial period.
  • You will be notified before the free trial ends.
  • If you do not cancel before the trial period ends, you will be automatically charged for the subscription plan you selected during signup.
  • The 14-day money-back guarantee period begins from the date of the first payment, not from the start of the free trial.

10. Changes to This Policy

We reserve the right to modify this Refund and Cancellation Policy at any time. Changes will be effective immediately upon posting to our website. We will notify customers of significant changes via email or through an in-app notification.

11. Governing Law

This policy shall be governed by and construed in accordance with the laws of Poland, without regard to its conflict of law principles.
